1. Background & Context

Our organization relied on a manual, paper-based onboarding and offboarding process, which led to inefficiencies, delays, and compliance risks.

Employees and HR teams faced challenges such as document misplacement, prolonged approval cycles, and excessive administrative workload. The need for a more efficient, secure, and scalable solution became evident as the company expanded.

  • Transition the entire onboarding and offboarding process from paper-based to 100% digital using DocuSign.
  • Improve document turnaround time and reduce administrative workload for HR and hiring managers.
  • Improve employee experience by enabling seamless, remote-friendly documentation processing.

4. Approach & Methodology

  • Audited existing onboarding/offboarding processes and identified bottlenecks.
  • Designed and standardized digital document templates.
  • Developed user guides and FAQs to support adoption.
  • Conducted a training session for the People Team.
  • Collected feedback for continuous process improvement.
  • Launched the digital process in phases, starting with a pilot group before full deployment.
  • Adjusted workflows based on feedback and data insights.
